How it started
The Booze Calculator was launched in 2024 by a luxury event planning firm that developed it in-house as part of their event organizing toolkit. Planning bars for high-end galas, weddings, and corporate events demands precision โ the kind that rough rules of thumb and generic online calculators simply can't deliver. So the team built something better: a tool that accounts for per-spirit ratios, event duration, drinking intensity, non-drinker percentages, and bar theme all at once.
We are pleased to share it here as a free, no-login, no-nonsense tool for anyone planning an event with a bar. It has been refined based on real-world feedback from hosts, bartenders, caterers, and event planners who use it for everything from backyard cookouts to black-tie weddings.
Who writes our guides
Gryphon C. Lane โ Bar & Event Consultant
Gryphon spent over a decade planning bars for weddings, galas, and corporate events at a boutique luxury event firm before helping build The Booze Calculator as an in-house tool for precision bar planning. He's since stepped back from full-time event work, but still consults on the calculator's methodology and reviews new guide content.
What makes it different
Most alcohol calculators online are bare-bones sliders that spit out a single number. The Booze Calculator is built around how real events actually work:
- ๐ฏPer-spirit breakdown. Rather than just "X bottles of liquor," the calculator tells you exactly how many bottles of vodka, bourbon, gin, tequila, rum, and scotch you need โ based on adjustable per-spirit ratios you can customize for your crowd.
- ๐Bar themes that match the occasion. Cinco de Mayo loads tequila-forward ratios. St. Patrick's Day goes heavy on beer. Weddings shift toward wine and champagne. Each theme sets sensible defaults while letting you adjust everything.
- ๐นComplete shopping lists. Beer in cases, wine in bottles, mixers in liters, ice in bags โ a full, printable inventory that covers everything you need to walk into a liquor store confident.
- โ๏ธAdvanced settings for real planners. Adjust non-drinker percentage, buffer stock, drinks per person per hour, and ice per guest. Ideal for caterers, bartenders, and event planners who need precision.
- ๐ธCocktail recipes built in. Each spirit in your shopping list comes with a suggested cocktail recipe โ scaled for your guest count, so you know exactly how to use what you bought.
Our approach to responsible use
This tool is strictly for adults 21 and older. We take that seriously. Every page of the site carries a reminder to drink responsibly, designate a sober driver, and look out for guests.
The calculator is designed to help hosts plan thoughtfully โ not to encourage over-purchasing or over-serving. The default buffer is set at 10%, not 50%. Quantity estimates are based on industry-standard serving guidelines, and we always encourage hosts to use their judgment for their specific crowd.
Please drink responsibly. If you're hosting, plan ahead: arrange a designated driver or ride-share options before the event starts.
